When is the deadline for submitting an online application for the next Call for Applications for the Kellogg Health Scholars Program (KHSP)?
The 2010-2012 Call for Applications will be issued early in September, 2009. The online application will be accessible then. The deadline for submitting an online application for the 2010-2012 Call cycle is on or before Wednesday, December 2, 2009 at 5:00 p.m. Eastern.
We strongly encourage applicants, however, NOT to wait until the final few minutes on the deadline date to submit their applications. From our past experience systems issues may arise — originating from the applicant and/or the program — that may prevent the timely submission of an application. Please see #15 below.
I am currently a PhD candidate and would like to know if I am eligible to apply to the KHSP?
Your are eligible to apply to KHSP if you expect to receive your PhD degree the summer before the next cohort of Kellogg Health Scholars selected begins their fellowship. For example for the upcoming 2010-2012 Call for Applications the start date of the fellowship is fall of 2010, so if you expect to receive your PhD degree before August of 2010 you are eligible to apply..
Can I email or mail my CV to apply for the program?
No. The program ONLY accepts online applications. Our application is accessible following our Call for Applications.
Since the KHSP has two tracks, can I apply for both tracks?
No, you may only apply to ONE track — either the Community Track or the Multidisciplinary Track — but NOT both. It is very important that you read through the KHSP description before you choose the track for which you will apply.

If I start to work on my online application for one track and I realize that I should apply for the other track, can I change the track that I am applying for??
We cannot emphasize enough the importance of conducting ground work and acquiring as much information as you can on the program and its two tracks to identify the best fit for your experience and career goals prior to filling out your track choice on the online application.
If you find it is absolutely necessary to change your track choice after you have started to fill out the online application, contact our IT and Communications Manager, Brandon Moore, at bmoore@cfah.org AS SOON AS POSSIBLE, to facilitate this change. Changing track choices can only be done before the December 2, 5:00 p.m. (Eastern) submission deadline.
Can I contact program staff for assistance in choosing appropriate references?
Yes. We strongly encourage you to contact program staff if you are uncertain about your choices before you "lock in" the names of your references on the online application form. Please see the program staff names and email address for each track under #4 above.
Do the reference letters have to be submitted online?
Yes. The individuals that you "lock in" on the online application as your references will automatically receive an email from KHSP (with an email address of healthscholars@cfah.org). This email will include a unique link to a reference form for you. Responses on the reference letters we receive are confidential and will not be shared with the applicants.
Do the individuals writing the reference letters also need to submit their references by the application deadline date?
Yes. They must fill out and submit the online reference forms on or before Wednesday, December 2, 2009, 5:00 p.m. Eastern.
It is important to note that even if you submit your online application on time but we DO NOT receive a complete set of your reference letters by the deadline date/time, your application will be determined incomplete and will NOT be eligible for review.
Will KHSP follow-up with the "locked in" reference names to confirm thatthey have received the link to the reference forms?
No. Once you have locked in the names of your references it is your responsibility to follow-up with them to confirm that they have received the online reference forms and to remind them of the submission deadline date.
What if after I "lock in" a reference name I find out that he/she is unable to fill out the online recommendation form or I decide to change the name of the reference, what do I do?
Before you "lock in" the names of your references, we highly recommend that you consider your references choices carefully and contact these individuals to check their email addresses and to confirm their availability during the application cycle to complete your online reference forms on or before the December 2, 2009, 5:00 p.m. deadline.
Unforeseen circumstances do take place and in these cases if you have "locked in" your references and find it necessary to change a reference name, please contact our IT and Communications Manager, Brandon Moore, at bmoore@cfah.org, so he can facilitate this change. PRIOR to making the change, YOU will need to contact the individual you initially "locked in" as a reference to communicate that you are withdrawing your request for a reference and that he/she should NOT fill out and submit the reference form on the link that was emailed to them by the Kellogg Health Scholars (KHSP) (with an email address of healthscholars@cfah.org).
What if one of my references did not receive the KHSP email with my unique reference form link?
Please request that the individual to check his/her junk and/or spam folders for the email with the online reference form from the Kellogg Health Scholars Program (with an email address healthscholars@cfah.org). If after checking these folders, he/she does not see the KHSP email, please contact Brandon Moore, at bmoore@cfah.org.
Could I complete my online application and submit even before all my reference letters have been submitted?
Yes. After you submit a completed online application form, you will receive an email from KHSP that you have successfully completed the online form; within the body of the email you will see a summary of your application. If you do not receive this email confirmation, please contact Brandon Moore (bmoore@cfah.org) or Marie Briones-Jones (mbjones@cfah.org).
If at the time you submit your online application form you have reference letters that have not been submitted by your references, the KHSP email will indicate this and state that your application will be considered "pending" until all the references are received on or before December 2, 2009, 5:00 p.m. (Eastern).
Please note that after you submit your online application, you will not be able to go back to it and make changes.
How will I know if my online reference forms have been submitted by my references?
Throughout the application process, before or after you complete and submit your online application, you will receive an email notification from KHSP as each online reference is submitted. In cases where applicants complete and submit their online applications before all references are submitted, when the set of references submitted is complete there will be an email notification sent from KHSP which will indicate that the "pending" application is now "complete" and eligible for review.
Do the character limits for the response fields on the online application form include spaces between each of the characters?
Yes. The character limits include spaces between characters.
For the 6,500 character research proposal for the Multidisciplinary Track, does that character limit include References?
Yes, the 6,500 character limit does include References
For the Community Track Optional Community reference, can this be submitted by someone from the university who is familiar with my work in the community?
No, the optional 4th reference for the Community Track should only be submitted by an individual from the community and only if there is a representative from a community-based organization who has worked with the applicant and can speak to his/her qualifications.
I am experiencing technical difficulties accessing my saved, but not yet completed and submitted, online application what do I do?
Please contact Brandon Moore at bmoore@cfah.org or Marie Briones-Jones at mbjones@cfah.org. As much as we have tried to anticipate various possible system configurations applicants will use in applying for the program, there will still be some system configurations that have not been accounted for — e.g., firewall, security and cookie blocking software — that may bring about difficulties in your accessing the KHSP online application system. We will work with you to facilitate accessing our online application system.
I am experiencing difficulty submitting my completed online application. What do I do?
Please check the Application Summary section of your online application to make sure that you have completed all the required application fields. The Application Summary should highlight the sections that you still need to fill out. If everything seems to be in order and you are still having difficulties submitting, please contact Brandon Moore (bmoore@cfah.org or 202-387-2829) or Marie Briones-Jones (mbjones@cfah.org).
